The Membership software module
has been designed specifically for sporting and other Clubs,
and will provide all the functionality needed to handle
the requirements of your Club.
General Ledger integration.
The Member's ledger is fully
integrated with the General Ledger. Invoices can be processed
on a Cash or Accrual basis.
Multiple Fee Categories
You can create as many membership
categories as you require. Each category carries the subscription
fee for annual, half-yearly, quarterly or monthly billing.
Statistical information is kept on the number of members
in each category together with the member ceiling and number
on the waiting list for each category. For Golf Clubs, playing
rights for each membership category are kept and used in
the Golf Management system to check the player's eligibility
to play in the competition.
Other Charges
There is no limit to the number of
other charges you may want to create for such items as Locker
Rental, Affiliation Fees, Insurance, etc. Individual members
may be linked to these charges when generating subscription
invoices or for raising ad hoc charges.
Member Billing
Member subscription billing is an automatic one-step operation
generating charges and invoices on an annual or cyclical
basis as required. A range of invoice and statement formats
with Club logos etc. are available as standard or if you
wish, alternative formats can easily be created to suit
your requirements. GST is calculated automatically on all
transactions where required.
Instalment
Plans
Flexible instalment plans can be established for any member.
Entrance fees, subscriptions etc. may be split into any
number of payments over any period of time. If required
administration charges can be generated automatically when
creating the instalment plan. Reminder notices or invoices
can be printed automatically according to due date.
Direct Debits
The Direct Debit feature allows you to manage the payments
by members directly into the Club bank account. The system
keeps track of payments due, provides a data file or report
which may be sent to the bank and automatically updates
the member's account on your database.
Multiple Accounts
You can set up any number of different account types you
require. These may be used for subscriptions, house levy
or bar accounts, etc. Transactions may be posted to nominated
accounts and separate or combined statements can be produced
as required.
House Levies
The system allows you to manage House levies and purchases.
Forfeitures can be generated for unused credits if and when
required.
Search Engine
The Search facility is a powerful tool that enables you
to create selective lists of members for reporting, marketing,
label printing, mail merges, database updates or billing.
Lists may be compiled based on a wide range of selection
criteria which you specify, such as categories, age ranges,
birthdays, join dates, players' handicaps, sex, financial/unfinancial,
occupations, marketing groups, etc.
Reporting
A wide range of membership reports is provided and if you
wish to create your own reports a report generator comes
as part of the system.
Special Groups
A powerful feature of the system is the ability to classify
your members by special groups. These classifications can
be used for selective marketing, mailings, label runs, reporting
etc. to specific groups.
Member History/Notes
The system allows you to keep notes and history for each
of your members. Entries may be classified by type and are
dated for selective reporting or enquiry at any time. Word
documents associated with the member can be linked and retrieved
when required.
Waiting List
The system provides waiting lists
for members wishing to join the club as well as existing
members waiting for vacancies in another category. When
vacancies occur you are notified automatically, and reports
may be produced at any time to show the applicants in priority
order.
Resigned Members
Members may be transferred to the
'resigned' file when required. All details about the member
(including history, handicap and round details etc.) are
kept and returned if you wish to reinstate the member.
Corporate & Family Groups
The system allows you to identify
and link members as corporate or family members for the
purpose of billings and mailings. Financial postings may
be made to individual member accounts or to the nominated.
